How to set repeating shifts

Define a team member's regular working hours once and let the system automatically generate their schedule — weekly, bi-weekly, or on any rotating cycle up to four weeks.

Instead of adding shifts one day at a time, repeating shifts let you configure a member's full weekly pattern and generate months of shifts in a single save. Set which days they work, what hours, how often the pattern repeats, which location each week applies to, and when it ends.

How to get there

There are two ways to open the sheet:

From the schedule board

  1. 1Navigate to Dashboard → Team → Schedule in your sidebar.
  2. 2Find the team member's row on the schedule grid.
  3. 3Click the ⋯ menu on their row and select Set repeating shifts.

From a shift cell

  1. 1Click an existing shift chip on the schedule board to open the shift menu.
  2. 2Select Set repeating shifts from the dropdown.

What each field means

Set the weekly pattern, choose when it starts and whether it ends, then preview the upcoming weeks and any existing shifts that will be replaced.

Weekly pattern

How many weeks make up one full cycle

Same every week uses one pattern. Alternate 2 weeks and Rotate 3 or 4 weeks add a tab for each week in the cycle. The weeks run consecutively, then start again at Week 1.

e.g.Set to 2 for a staff member who works Mon–Fri one week, then only Mon–Wed the next.

Starts

The first day shifts are generated from

All shifts are calculated forward from this date. For multi-week cycles, this date anchors which calendar week is Week 1 — every week after counts off from here to determine the correct pattern.

e.g.If your cycle is every 2 weeks and you start June 16, then that week = Week 1, June 23 = Week 2, June 30 = Week 1 again, and so on.

Ends — No end date

The usual option for an ongoing team schedule

The schedule keeps repeating. The system adds shifts on a rolling basis, so you do not have to extend the pattern every few weeks.

e.g.Use this for a permanent team member whose weekly hours are expected to continue.

Ends — On date

No shifts are created past a specific end date

Shifts are generated from the start date up to and including the end date. Choose this for a temporary assignment or a schedule that should stop on a known date.

e.g.A summer hire who starts June 1 and finishes August 31.

Ends — After

Stops after a fixed number of working days

Enter a number of working days. A day with two shift blocks still counts as one working day. The count follows the repeating pattern; shifts that fall during closures or approved time off are skipped.

e.g.A contractor hired for 30 working days — enter 30 and review the resulting end date before saving.

Schedule notification

The member is notified as soon as the schedule is created

There is nothing to configure — when you save the repeating shifts, the team member is sent their upcoming schedule right away.

e.g.Save a Mon–Fri repeating schedule and the member gets it immediately, not on a delayed send day.

Locations

Configure schedules per location when a member works at multiple sites

If the team member is assigned to one location, it is selected automatically. For members at multiple locations, choose a location for each week in the pattern. The whole rotation is saved together.

e.g.Week 1 = Downtown: Mon–Fri. Week 2 = Uptown: Mon–Wed. All saved in one action.

Working days and hours

The days and times for each week in the cycle

Each day starts with the selected location's business hours, with organization hours used if the location has none. Reset week restores those hours. Use the circle beside a day to make it working or off. Select Edit on a day to set different hours or add a split shift. For rotating schedules, use the week tabs to edit one week at a time.

e.g.Select Edit on Monday, set 9:00 AM – 1:00 PM, then use Add another shift for 2:00 PM – 5:00 PM.

Review before saving

Select Preview changes after editing the pattern. The result appears below the editor and shows what the scheduling system will do:

Upcoming weeks

Each scheduled day, its shift times, and its location, grouped by week.

Ongoing schedule

For schedules with no end date, shifts continue to be generated on a rolling basis.

Changes to existing shifts

The number of future shifts replaced from the selected start date, plus closures and approved leave skipped in the preview.

Multi-week rotating cycles

Choose Alternate 2 weeks or Rotate 3 or 4 weeks to add week tabs. Each week can have different working days, hours, and locations.

The start date anchors which week is first

For a 2-week cycle starting June 16: the week of June 16 = Week 1, June 23 = Week 2, June 30 = Week 1 again. Changing the start date shifts the entire cycle.

Saving replaces future shifts

Saving replaces this member's shifts from the selected start date onward across their locations. The review shows how many shifts will be replaced. Earlier shifts remain in place.

Tips

Check the review before saving

The exact shift count, dates, skipped blocks, and replacement count show what will change.

Use split shifts for meal breaks

Select Edit beside a working day, then Add another shift to create a second time block.

Use After for contract work

If you've agreed to a fixed number of working days, choose Ends after working days instead of calculating an end date.

Closures and leave are respected

Shift blocks during business closures or approved time off are skipped and counted in the review.
